The Alaka`ina Foundation Family of Companies (FOCs) has a potential
need for a Executive Assistant to provide support to the Naval
Information Warfare Systems Command's(NAVWAR's) Program Executive
Office (PEO) for Manpower, Digital out of the National Capital
Region (NCR). The PEO MLB program encompasses Administrative, Total
Force Management Support, and Corporate Communications & Public
Affairs Support, Command Operations, and Support, and IT Management
Support services.
JOB DESCRIPTION:
+ Assist the Government to complete action items. This requirement
may involve independently gathering, tracking, and analyzing data,
coordinating inputs, and collaborating with stakeholders to
complete assigned action items.
+ Prepare program documentation tailored to intended audiences.
Program documentation may be recurring or ad-hoc. Examples of
program documentation include briefings, executive summaries, white
papers, issue papers, reports, assessments, studies, analyses,
reclamas, e-mails, charts, graphics, spreadsheets, multimedia
presentations, diagrams, surveys, metrics, and Naval messages.
+ Analyze data and provide comments, questions, and recommendations
for the Government in verbal and/or written format.
+ Utilize, recommend, and implement best practices and process
improvements for the Government.
+ Provide all deliverables in accordance with the specified format,
deadline, and tools (e.g. database, software, and websites). All
deliverables shall be free of spelling, grammatical, syntax, and
punctuation errors.
+ Ensure inputs are fully coordinated, reviewed, and approved by
the Government.
+ Assist the Government in its response to data calls. Data calls
may be recurring or ad-hoc. Examples of support functions include
drafting, gathering, analyzing, validating, delivering, updating,
and submitting inputs for the requestor. Additionally, this
requirement may involve providing routine status updates to the
requestor.
+ Provide a variety of assessments, analyses, comments, questions,
and recommendations for the Government in the assigned format and
by assigned deadlines.
+ Report any unauthorized disclosure of PII to the NAVWAR Privacy
Act Coordinator and designated Government personnel, to include the
Procuring Contracting Officer (PCO) and Contracting Officer's
Representative (COR).
+ Provide support to manage action items.
+ Provide calendar support.
+ Perform clerical duties, to include assisting with the successful
management of the assigned Government organization.
+ Provide meeting support.
+ Provide support for mail-related functions.
+ Provide records management support.
+ Provide support for e-mail management.
+ Assist the Government in the development and implementation of
Management Internal Control Program (MICP) requirements for the
assigned Government organization.
+ Coordinate and schedule official travel plans in accordance with
the Defense Travel System (DTS) governance.
+ Prepare travel vouchers for the assigned Government organization
in accordance with DTS directives and most current JTR.
+ Manage office supplies and equipment for the assigned Government
organization.
+ Provide high-level administrative support by conducting research,
preparing statistical reports, and handling information requests,
as well as performing routine administrative functions such as
preparing correspondence, receiving visitors, arranging conference
calls, and scheduling meetings."
+ Specialized administrative support experience with a Navy
acquisition program or related/comparable administrative support
experience with Department of Defense (DoD) agencies.
+ Experience applying the Navy Correspondence Manual to assigned
duties.
REQUIRED SKILLS AND EXPERIENCE:
+ Minimum of 3 Years of relevant experience.
+ Excellent oral and written skills.
+ Excellent critical thinking skills.
+ Proficient in Microsoft applications such as Word, Excel,
PowerPoint, and Outlook. (Microsoft Office 365 Suite, DON Tracker,
and Defense Travel System (DTS).
+ Ability to work independently and as a team member.
+ Ability to learn and apply administrative support concepts to
assigned duties.
DEGREE/EDUCATION/CERTIFICATION REQUIREMENTS:
+ Bachelor's Degree. Substitution: 6 years of additional relevant
work experience OR Associate's Degree plus 4 years of additional
relevant work experience.
CITIZENSHIP/SECURITY CLEARANCE REQUIREMENTS:
+ Must be a US citizen.
+ Active SECRET clearance required.
